Every SHCS employee, including you, is automatically given a UBC email address.

Check it regularly—at least once a week—so you don’t miss out on:

  • Payroll reminders and notifications
  • Scheduling info, where applicable
  • Contests, free staff events, perks and more
  • Job opportunities
  • Important updates for your department—plus SHCS, VPS/AVPS and UBC

How to log in and check your UBC email account

  1. Visit Exchange online.
  2. Enter your UBC email address—yourCWL@mail.ubc.ca or firstname.lastname@ubc.ca.
  3. Enter the same password you use for your UBC CWL (Campus-wide Login)—i.e., to log in to Workday.
  4. You may need to use multi-factor authentication (MFA)—i.e., Duo Mobile—when you log in.

FAQs

I don’t know my UBC email address. How can I find it?

Using a computer/laptop

  1. Log in to Workday with your CWL username and password (and MFA / Duo Mobile, if required).
  2. Click your profile image or icon (top right).
  3. Click “View Profile”.
  4. Click “Overview”.
  5. Find your UBC email address under “Contact Information – Public”.

Using a mobile device: Workday App or web browser

  1. Log in to Workday with your CWL username and password (and MFA / Duo Mobile, if required).
  2. Click your profile image or icon (bottom right).
  3. Scroll down to “Contact Information – Public”, where your UBC email address will be listed.

I don’t have a CWL. How do I get one?

If you’re new to UBC, check your personal email account for an email from UBC IT asking you to activate your CWL account.

Follow the instructions in that email to activate your CWL and setup multi-factor authentication (MFA), which uses an app to verify your identity—an extra layer of security. For support setting up your CWL and/or MFA, please speak with your manager or supervisor.

What is multi-factor authentication (MFA)?

Multi-factor authentication (MFA) introduces an additional security layer to your UBC login process. Imagine a double lock on your door; both your username/password (the first key) and a verification code from your phone (the second key) are required for entry.
